How far in advance should I book an event photographer?

For large events — awards nights, conferences, gala dinners — we'd recommend booking six to eight weeks out, particularly for October through December when the Melbourne corporate calendar is at its busiest. For smaller functions, a couple of weeks is usually fine, but earlier is always better to avoid disappointment.

Do you provide a photography brief or run sheet template?

Yes — we have a simple photography brief template that takes about five minutes to fill in. It covers key shots, important guests, schedule of events and any branding requirements. It means nothing important gets missed and there are no surprises on the day for either of us.

Can you handle headshots at the same event?

Absolutely, and it's a smart way to get more value from your photography budget since we're already on-site. We quote the headshot component separately but offer a combined rate where possible. Just let us know in advance so we bring the right equipment — headshots require a different setup to event photography.

What if our event runs over time?

It happens. We quote a set number of hours but we're not watching the clock to the minute. If your event runs a little over, we'll use common sense. For events where significant overtime is likely, we can agree on an hourly extension rate upfront.

How are the images delivered?

Via Dropbox, Google Drive, a private online gallery or download link. You'll receive full resolution images suitable for print, web and social media. We don't watermark client images or hold files to ransom for future payments.

Do you travel outside Melbourne for events?

Yes — we cover events across Victoria and travel interstate when required. Travel and accommodation costs sometimes apply for events outside greater Melbourne, which we'll outline clearly in your quote. We also have a team of trusted photographers in Sydney.

We’ll recommend the right number once we understand your brief and floor plan.

Can you photograph individual exhibitor stands as well as the overall event?

Yes — and it’s one of the most valuable things we do at expos. Stand photography gives exhibitors content they can use immediately on social media while the event is still running, and organisers a complete record of the exhibition floor. We can cover this as part of the overall event brief or quote it as a standalone service for individual exhibitors.

Do you deliver photos while the expo is still running?

For expos where same-day social content is a priority, we offer an expedited edit and delivery service so exhibitors and organisers can post during the event. Let us know upfront if this is important and we’ll build it into the workflow.

Can you photograph our expo stand before guests arrive?

Most expo briefs fall between $800–$1,800 for anything between a few hours and a half day booking depending on the floor size, number of photographers required and whether same-day delivery is needed.
